User Roles
Every Aflux account has three built-in roles. Assign the role that matches what each person actually needs — fewer permissions reduce the risk of accidental changes. There is always at least one Admin on every account. You cannot remove or demote the last Admin. To hand off admin rights, promote another member to Admin first.
User Limits per Plan
The number of seats available on your account depends on your plan:
When you reach your seat limit, the Invite Member button is disabled until you upgrade or remove an existing user.
Inviting a User
Add a new team member from Settings → Team. You need Admin rights to invite users.1
Open the Team settings
Click your account avatar in the bottom-left corner, select Settings, then choose Team from the left menu.
2
Click Invite Member
Click the Invite Member button in the top-right of the team list. A dialog opens.
3
Enter the user's email address
Type the invitee’s work email address. You can enter multiple addresses separated by commas to send bulk invitations.
4
Assign a role
Select Admin, Member, or Guest from the role dropdown. You can change this at any time after the invitation is accepted.
5
Send the invitation
Click Send Invite. Aflux emails an invitation link to the address you entered. The link expires after 7 days — resend it from the pending invitations list if needed.
6
Confirm acceptance
Once the invitee accepts and creates (or logs into) their Aflux account, they appear in the Active Members list and can start working immediately.
Per-Module Access Control
On Pro and above, you can restrict which modules each individual Member or Guest can access — even if their role would normally allow it. To configure module access for a user:- Go to Settings → Team and click the user’s name.
- Under Module Access, toggle access to Bulk Email, E-Signature, and QR Codes independently.
- Click Save Changes.
Per-module access control is available on Pro and above. On the Free plan, all Members have access to all modules by default.
User Groups
On the Business plan and above, you can create named groups (for example, Marketing Team or Legal Department) and assign module access at the group level instead of per user.1
Create a group
Go to Settings → Team → Groups and click New Group. Give the group a descriptive name and click Create.
2
Add members to the group
From the group’s detail page, click Add Members and select users from your team list. A user can belong to multiple groups.
3
Set module access for the group
Toggle Bulk Email, E-Signature, and QR Codes on or off for the group. This overrides any individual module access settings for members of the group.
4
Save the group
Click Save Group. Module access takes effect immediately for all members.
Guest Accounts
Guests are external collaborators — clients, contractors, or partners — who need limited access to specific documents without full platform access. Guest accounts are available on Pro and above. Guests can:- View documents explicitly shared with them
- Sign signature requests they have been added to as a recipient
- Download completed signed PDFs from their dashboard
Removing or Deactivating Members
To remove a member permanently:- Go to Settings → Team, find the member in the list, and click the ⋯ menu next to their name.
- Select Remove Member. Confirm the action in the dialog.
- The member loses access immediately. Their previously created documents, campaigns, and QR codes remain in the account.
- Click ⋯ next to the member’s name and select Deactivate.
- The member cannot log in but their data and settings are preserved.
- Reactivate at any time by clicking ⋯ → Reactivate Member.
Single Sign-On (SSO)
SSO (SAML 2.0 and OIDC) is an Enterprise-only feature. Contact your Aflux account manager or email support to configure SSO for your organization. Once enabled, team members authenticate through your identity provider (Okta, Azure AD, Google Workspace, etc.) and are provisioned automatically on first login.
